9.4.2.1 Microfilm to Remain Available for Reference Use

Update the title and call number fields in the DB/Text database “microfilm.cba”. Put a note in the “Notes” field with the old call number of the collection, your initials, and the date. If necessary for clarity you can add information about specific boxes and folders, but this should not generally be necessary. For example, “Formerly MS Vault Shelves Romanov. MBS, 1998 Mar 31.”

NOTE: Access Services is no longer using “white slips” in folders to show that there is a microfilm of an original manuscript item; the slips can be discarded when a manuscript collection is processed, as long as the “microfilm available” label is placed on the folder. However, these slips are still being used for printed books and should remain in the books. If a manuscript volume housed in a custom box has been microfilmed, label the box MICROFILM AVAILABLE. If the volume is not boxed, or if the box is “nice,” then use the “white slip.”
